🌿 Cancellation Policy at Whipple Creek Wellness
We understand that life happens—and sometimes you need to reschedule. Our cancellation policy is designed to support timely access to care while remaining fair to both patients and providers. 💚
⏰ Need to Cancel or Reschedule?
Please provide at least 24 business hours’ notice if you need to cancel or reschedule. The easiest way is to send a message through the patient portal or call our office at 360-930-9480.
🚫 What Counts as a Missed Visit?
An appointment is considered missed if:

You arrive more than 10 minutes late

You cancel with less than 24 business hours’ notice

You don’t show up without notifying us

You attempt a telehealth visit from an inappropriate or unprivate location (such as a car, workplace, or public space)

You forget to confirm your visit (just a reminder: not confirming does not cancel your appointment)
💵 What Happens If I Miss a Visit?

First Missed Visit → No fee—we understand things come up.

Second Missed Visit → $150 fee (not billable to insurance). You will also be moved to same-day scheduling—meaning you may request an appointment only on the day you’d like to be seen, if space is available.

Third Missed Visit (and beyond) → $150 fee (not billable to insurance) and discharge from our practice.
❄️ Weather-Related Cancellations
Your safety comes first. If travel is unsafe due to weather, we’re happy to switch your visit to telehealth or reschedule. You will not be charged for weather-related cancellations—as long as you notify us in advance by phone or through the patient portal.
