π³ Payment Policy at Whipple Creek Wellness (A Friendly Heads-Up)
At Whipple Creek Wellness, we want your experience to be as smooth as possible—including the payment part! Here’s a quick and friendly rundown of how billing works with us. π
πΌ A Card on File, Please!
Before your first visit, we’ll securely store a credit or debit card in our HIPAA- and PCI-compliant system. This card will only be used for things like:

π§Ύ Visit payments (co-pays, deductibles, self-pay)

β Late cancellations or missed visits

π Services not covered by insurance

π Extra professional services (like long calls or letters)
Rest assured—it’s all safe and secure, and only used when needed!
π₯ Paying for Your Visit
We kindly ask that all co-pays, deductibles, and balances be paid at the time of your visit. If you're using insurance:

Make sure we have your Insurance Authorization Form π

Keep us updated with any insurance changes π

If your insurance doesn’t cover a visit, you’ll be responsible for the full amount
β° Missed Visits & Late Cancellations
Life happens—but we do need at least 24 business hours' notice to cancel or reschedule. Otherwise, we’ll need to charge:

$150 for late cancellations

$150 for no-shows (yep, even telehealth if you're in a non-private space)
Multiple missed visits may mean we need to pause care. Let’s keep things on track together! ποΈ
π§ Extra Services (When You Need a Bit More)
Sometimes, you may need something beyond a standard visit—such as a treatment letter, a lengthy phone call, or care coordination. These are billed at $400/hour, in 15-minute chunks. Examples:

π Calls over 15 minutes

π Writing reports or summaries

π€ Talking with your other providers

ποΈ Legal stuff (like court prep or testimony)
π° Unpaid Balances
If you have an unpaid balance:

Future visits may be delayed or rescheduled

Late fees may apply (as allowed by Washington law)

We may need to send the balance to collections (we’d really rather not!)
You’d also be responsible for any costs related to collections, including attorneys or court fees.
πΆ For Our Minor Patients
We do not bill third parties (such as ex-spouses, grandparents, or other guardians). The adult who brings the child to the appointment is financially responsible, unless a guarantor has been arranged with us in advance.
If a teen attends an appointment on their own, the designated guarantor remains responsible for payment. Please make any private financial arrangements with others in advance to avoid confusion.
